HOW CAN THE BOARD DECREASE TIME SPENT ON ASSOCIATION BUSINESS?
The Board can decrease time spent by welciming involvment by Community Members and assigning those individuals to Committee. In general, each association will have mandatory committees (e.g. architectural review committee and/or nominating committee).An Association may also have standing committees (e.g. finance, landscape, and newsletter).There may also be ad-hoc committees, temporarily created for specific on-time items (e.g. selection of a refuse provider).
WHAT CAN WE DO TO FIND OUT WHAT IS GOING ON IN OUR COMMUNITY WHEN THERE IS ONLY ONE MEETING A YEAR?
You can speak to your Community manager or to your Board of Directors and communicate to them that your Members are interested in being more aware of what is going on in the Community. You can inquire about some of the following: open Board Meetings, newsletter committees, websites for the Association ( Many Association banks provide to it's customers a free website for the Association and it only requires an administrator be assigned), Community Update type flyers to be submitted to the membership on a quarterly basis. Don't be afraid to get involved and volunteer to submit or put together articles for one of these suggested items.
IS IT POSSIBLE FOR ASSOCIATION MEMBERS TO VIEW THE RECORDS OF THE ASSOCIATION ?
Yes it is possible, however there is certain protocal for such a request. You must submit the request to the management firm in writing. You need to state specifically which records you wish to view. You need to state the purpose of your request to view the records. Once you have submitted your request, the files will be gathered and an appointment will be set for the review. A manager will be present during the review process. The Board of Directors may have a policy in place stipulating the requirements for a records review request and most management firms have a policy as well that has been presented to the Board. There is also a section in most documents that outlines the requirements for inspections. There is often limits on how many times you may review the same records, the number of peple that may attend the review or the number of hours the inspection may take.
HOW CAN WE REPORT A VIOLATION OR PLACE A COMPLAINT ABOUT A NEIGHBOR AND CAN IT BE DONE ANONYMOUSLY?
Complaints may be submitted to your property inspector. This information is usually submitted to each membership. Please provide information that may be helpful in processing the reported information. We ask that you are certain of the facts that you are reporting. It would be very unfortunate to receive a violation notice for pet off of a leash when you do not currently have a pet or for a vehicle parked in a location not permissable by the Association if you are not the violator. It is preferrable that contact information is left with the violation information you are reporting so we may verify information needed to process the report. In todays times, we find many just wish to submit a picture with the time and date stamp shown through email.
